The Development Coordinator position plays a critical role securing the resources needed to carry out the mission of the organization by building and managing its fundraising activities. The position involves managing the organization’s prospect and donor cultivation systems, proposal & reporting deadlines, gift management & recognition processes, event planning & management, and coordination of internal teams across departments to execute on project deliverables. Success in this position requires someone who is a detail-oriented systems thinker and enjoys planning, building, and overseeing projects and processes. The position requires someone with very strong communication skills—written and verbal—who enjoys engaging with people via email, phone, and in person meetings and who has previous experience managing a team with multiple overlapping commitments. The Development Coordinator will report to the Managing Director of Strategy and Development and will work in coordination with two additional Development Assistants and a Grant Writer.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Development Coordinator, in collaboration with other members of the Development Department, will be directly responsible for managing the day-to-day support operations related to fundraising at The Company. This includes, but is not limited to, the following core activities- Grants & Gifts Management, Tracking Donor & Prospect Cultivation Activities, Donor Communications, Public Affairs & Events Planning & Management and Other projects and tasks as assigned.
I. Grants & Gifts Management
o Update and maintain database and system for grants management
o Research funding opportunities from federal and state agencies, private corporations, private foundations, and individuals
o Brainstorm with staff to develop and submit grant proposals with supporting documents
o Update and maintain donor database with current grant activity
o Update records of grant deadlines and submissions
o Coordinate with other departments regarding grant deliverables and timely grant reporting deadlines
o Prepare materials for funder meetings and grant reports
o Assist with the creation of sponsorship packages
o Write and mail thank you letters to donors
o Assist with the writing and submission of grants as necessary
II. Tracking Donor & Prospect Cultivation Activities
o Managing/ overseeing the management of RTC’s development tracking list—the document which tracks all institutional donor contacts and next steps
o Development and management of Development department activities calendar—a calendar which maps out touch points, proposal and report due dates for each institutional funder
o Cultivate positive relationships with funding sources
III. Donor Communications
o Assist with the creation of an annual report, annual appeal, statistical review and any other periodic communications targeting institutional as well as individual existing and potential contributors.
IV. Public Affairs, Events Planning & Management
o Assist with planning gala and other special events throughout the year
o Assist with invitations by phone, in person, email or evite
o Assist with set-up, production and post-production of events
o Assist with design and printing of programs, signage, banners
o Orchestrate with staff on multi-media presentations (i.e. videos)
o Honoree and Sponsorship research, development and solicitation
o Recruit and work with consultants in fundraising, event coordination and honoree recruitment
o Work with communications and development team to produce sponsorship materials
o Assist Finance and development team with budget development for event
o Recruit RTC entrepreneurs and help create a unique attendee experience
o Manage and track all donations and
expenses and prepare monthly progress and close-out reports
A successful candidate must be:
· Highly organized, focused and capable of working independently on multiple projects as well as within teams and across RTC teams in a matrix-management process as needed
· Detail-oriented and enjoy building and managing processes
· Skilled at organizing data, working with spreadsheets, and managing databases
· Exceptional in verbal and written communication skills, and have a customer service approach to communications with donors and other VIPs
· Enthusiastic about working in collaboration with others, and have strong inter-personal skills to manage information and activities within competing project deadlines across multiple teams
· Mindful about future activities and deadlines and the steps that must be taken to keep the team ahead of schedule
· Comfortable in juggling multiple tasks and communications from various executives and stakeholders with a spirit of service leadership and resilience in managing a dynamically shifting workplace
· Have the highest regard for confidentiality and safeguarding sensitive information with exceptional professionalism
· Passionate and personally invested in the meaning of our mission and its impact
· Friendly and caring member of the larger RTC team
· Willing to perform other duties as required
· Willing to work regularly on-site at RTC’s headquarters
QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED
Bachelors Degree required. Candidate must have at least two years of relevant professional experiences in development and fundraising; extremely strong time and project management expertise, strong communication and organization skills; proficiency with Microsoft Office (e.g. Outlook, Word, Excel, PowerPoint, etc.). Experience in the non-profit arena or the microenterprise field a strong plus. A demonstrated track record of experience in annual, corporate, foundation and individual grant management of at least $5M per year in the NY Metro Area preferred.
